We collect:

• Documents you upload — Certificate of Insurance packets and related files, which may contain information about your subcontractors, their brokers, and their insurance.
• Account information — the names, work email addresses, and organization details of the people who use Coibeacon.
• Usage information — basic technical and log data about how the service is accessed, used to keep it secure and working.

We use the information above to:

• provide the service — read uploaded documents and evaluate them against your requirements;
• maintain an audit trail of what was read and when;
• communicate with you about your account and send the notifications you configure;
• secure, support, and improve the service, and meet our legal obligations.

Coibeacon is a detection aid: it reads documents and does not verify active coverage with carrier. The output it produces is reviewed and decided on by your team, not by us.

We use a small set of trusted providers to run the service. They process information only to provide their part of the service to us, under agreements that require them to protect it.

We keep information for as long as it is needed to provide the service to you and to meet our legal, audit, and dispute-resolution obligations. Because Coibeacon maintains an audit trail of document reviews, some records are retained beyond the life of a single document. When information is no longer needed for these purposes, we take reasonable steps to delete or de-identify it.

We use reasonable, industry-standard administrative and technical safeguards designed to protect the information in our care, and we limit access to those who need it to run the service. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Depending on where you and your organization are located, you may have rights to access, correct, or delete personal information, or to object to certain processing. Because Coibeacon is a business tool, much of the data we hold is provided and controlled by the organization you work for; we will work with that organization to honor valid requests. Coibeacon and its providers may process and store information in the United States and in other countries where those providers operate. Where required, we rely on appropriate safeguards for such transfers.

Coibeacon is a business tool and is not directed to children. We do not knowingly collect personal information from children.

We may update this policy from time to time. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you.
